About Pledge and Payment Totals on the Entity Forms in version 1.5.1

Introduction

Payments and pledges totals for entities (see the Glossary of Metrix Terminology) display slightly different in version 1.5.1 than in version 1.5.

The following applies to the payment and pledge totals at the bottom of the Programs, Events, Communications, Membership, and Pledges and Payments forms.

What pledges and payments are included in the totals

Pledges and payments must have the proper "Source Type" and "Source" values in order to appear in the totals for a given entity. The "Source Type" being the entity with which the pledge or payment is associated, like a communication or event, and "Source" being the name of the communication or event.

Important note about adding contacts to communications, events, programs, and membership
When you add a contact to a communication or event, for example, an interaction is automatically logged for that contact. The "Include in Communication" interaction for a communication and the "Event" interaction for an event. You can then add pledge and payment information for each interaction via the same form.

Your pledge totals may include pledges not associated with a particular interaction. For example, a pledge with a particular communication as its source may be a stand-alone pledge not associated with the "Include in Communication" interaction, i.e., the interaction that is automatically added to a contact's history when he or she is added to a communication. This also applies to payments.

Scenario: you send an appeal letter to one of your contacts and a friend or spouse of that contact sends in a gift due to the communication. You can log that payment and include the appeal letter as its source. The friend or spouse wasn't in the communication's send-to list and therefore doesn't have the "Include in Communication" interaction as part of his or her history. (The friend or spouse may not even be one of your contacts.)

This is possible because you can add pledges and payments via the Payments and Pledges form and associate a "source type" and "source" with an existing communication, program, or event, regardless of whether the person pledging or paying was included in the communication, program, or event. That pledge or payment isn't tied to a particular interaction, "include in Communication," "Program Enrollment," and "Event," respectively; It's just a stand-alone pledge or payment.

A payment with a communication as its source may have no associated pledge or may be associated with a pledge that is not tied to a particular interaction. Subsequently, the totals on an entity's details form may not be equal to the totals on the main form for that entity when filtered.

For pledges:

"Total Expected" is the total amount of pledges minus the total amount of pledges written off.

"Outstanding" is the total amount of pledges minus the total amount of payments posted against those pledges.

For payments:

"Total Received" is the total amount of payments posted regardless of whether or not it is associated with a pledge.
