Setting Up the Interactions Portal

About versions of this form
This page contains information for two different versions of the Format Interactions Portal form, one version for Metrix 1.3 and the other for Metrix 1.4 and later.

Setting up the Interactions Portal in version 1.4 and later

In Metrix 1.4 and later, the Interactions Portal is administered similarly to the Interactions Portal in previous versions. The main difference pertains to the addition of Module IDs, in support of our new module strategy. Also see Modules Explained.

The material for "Setting up the Interactions Portal (in version 1.3) can be used to set up the Interactions Portal in version 1.4 and later.

Setting Up the Interactions Portal (in version 1.3)

Note: Only the Metrix Administrator is able to customize the Interactions Portal. Users who wish to see additional or other Interaction details need to make those requests to the Metrix Administrator.

The Interactions Portal is the form where the Metrix Administrator customizes the seven Interactions Portal tabs on the Contact Overview form.

The following elements can be customized:

  • Names of the tabs
  • Interactions associated with tabs
  • Columns appearing on tab
  • Aliases for the column names

Setting Up an Interactions Tab

You will follow the same instructions for setting up all Interaction Portal tabs. Please note that we strongly recommend that you use the first tab to display all Interactions.

  1. Press the tab that you want to format.
  2. Select the Show this Tab checkbox.
  3. Enter the name that you want to appear on the tab.
    The name will appear as the tab name on the Format Interactions Portal form once you have finished.

    If there is a cut-off date before which you no longer wish to display Interactions, enter that date into the Hide Interactions with Add Date Before field. A default date of "1/1/1900" will be displayed in this field. Leave this value unless you wish to update it to limit the Interactions that are displayed.

  4. Specify which Interactions or Interaction categories you would like to include on the tab.
    You can include Interactions from different categories or even more than one category. Once you have made a selection in the Type drop-down list, the Title or Category drop-down list will be populated with the corresponding values.

    The Select Columns from drop-down list will display all of the tables that correspond to the Interactions and categories you selected. This is where you pick the specific columns that will be displayed in the detail area of the Interaction Portal. When you select a table, the columns from the table will be displayed in the Available Columns area.

  5. Move the desired columns to the Columns to Display area using the > right and < left arrow buttons or by double-clicking the name of the column in the Available Columns area.
  6. Press the up and down arrow buttons to determine the order in which columns will be displayed on the tab. You can view the tab data in the Preview for this Tab area.

    You can also change the name that is displayed for a column. To change the name, or alias, select the column and then press Change Alias. A form will be displayed into which you will enter the new name.

    Note: The Change Alias feature only changes the name of the column as it is displayed on the tab. This does not change the name of the column in the table, on other tabs, or on the Interaction form.

  7. Specify a field and a type of sort for displaying the records on the tab.
    It is fairly common to use AddBy field in descending order as the basis for displaying records in the Interactions Portal.

  8. Press Save & Close when you are finished and confirm that you wish to make these changes.
    Once you are finished, open the Contacts Overview form to view the changes you have just made to the Interactions Portal.
    Repeat these steps to for any tab on the Interactions Portal that you wish to change.

Setting Up the "Display All" Tab

We strongly recommend that the first of these tabs displays all Interactions. By default, the first tab in the Interactions Portal is set to display all Interactions. Here are instructions for setting that up, if it has been changed.

  1. Press the first tab to display the data for the first tab.

  2. Be sure that the Show this Tab checkbox is checked.

  3. Enter All or a similar caption in the Caption text box to denote that all Interactions will be displayed.
  4. If there is a cut-off date before which you no longer wish to display Interactions, enter that date into Hide Interactions with Add Date Before field.
  5. Choose the columns you wish to display.
    We recommend that you include at least these columns:
    • InteractionDefinitions - InteractionDefinitionTitle
    • MetrixInteractions - AddDate
    • MetrixInteractions - ItemNote
  6. Specify a field and a type of sort for displaying the records on the tab.
    It is fairly common to use AddBy field in descending order as the basis for displaying records in the Interactions Portal.

  7. Press Save & Close when you are finished and confirm that you wish to make these changes.
    Once you are finished, open the Contacts Overview form to view the changes you have just made to the Interactions Portal.
